This policy explains how ExpatNL handles personal information when you visit our website, read our guides, use our free tools, contact us, book a consultation or ask us to introduce you to a local expert.

Who is responsible

ExpatNL, 2134 KD, Hoofddorp, Netherlands (KvK number 42085425), is responsible for the personal information described here. For privacy questions or requests, email info@expatnl.eu.

Information we use and why

  • Enquiries and bookings: your name, email, phone number, message, what you need help with, when you are moving, your city or region and your appointment time. We use these to respond, hold your consultation and take the steps you ask for. Our legal basis is taking steps at your request, or our legitimate interest in answering your questions.
  • Introductions to local experts: what you tell us about your situation and needs (for example housing, mortgage, banking, tax, insurance or relocation), our correspondence with you and a record of which expert we introduced you to. We use these to find a suitable English-speaking professional, make the introduction you ask for, and follow up on how it went. Our legal bases are taking steps at your request and our legitimate interest in recommending only experts who serve expats well.
  • Paid services: if we agree a paid service with you in writing, we use the agreed details, correspondence and payment records to deliver it and to meet our accounting obligations. Our legal bases are performing the agreement and our legal obligations.
  • Website operation and security: IP address, browser information, requested pages and technical logs. We use these to operate and protect the site and prevent spam, based on our legitimate interest in a secure service. Cloudflare Turnstile checks form submissions for abuse.
  • Optional analytics and advertising: if you consent, Google Analytics helps us understand visits, and Meta Pixel and Meta's Conversions API help measure advertising and enquiries. On a submitted form, the Meta event may include hashed contact details, IP address, browser information and Meta cookie identifiers. Hashed details can still be personal data. We do not send this event without your marketing consent.

Information you put in a message may include details about other people, such as your partner or children, or sensitive matters such as your income or health. Please share only what is needed for your enquiry. Our free tools, such as the import tax calculator, run in your browser; we do not store the figures you enter.

Fields marked as required on our forms are needed to handle the request or booking. Without them, we may be unable to respond or reserve an appointment. We do not make decisions about you solely by automated processing.

Who receives information

Local experts: when you ask us to introduce you to a professional, such as a rental or buying agent, mortgage or financial advisor, tax advisor, bank, insurer, relocation specialist or mover, we share the details they need to contact and help you. This is usually your name, contact details and a short summary of what you need. We only do this after you have asked for or agreed to the introduction, and we tell you who we are introducing you to. The expert then handles your information as an independent business under their own privacy policy. Some experts pay us a fee for an introduction; for that, we may tell them that you were introduced by us and whether you became their client.

Service providers: we use hosting, email and security providers to run the site and handle messages. Google receives technical connection data when its web fonts load. With your optional consent, Google receives analytics data and Meta receives advertising and lead measurement data. We may also disclose information where the law requires it. We do not sell your contact details, pass them to anyone you did not ask to be introduced to, or use enquiry forms to sign you up for a newsletter.

Some technology providers may process information outside the European Economic Area. Where this happens, the transfer must be covered by a valid legal mechanism, such as an adequacy decision or appropriate contractual safeguards. Contact us if you want details about a particular provider.

How long we keep it

We keep enquiries, correspondence and records of introductions for as long as needed to respond, help you, follow up with you and the expert, and deal with reasonable follow-up or legal claims. Accounting records are kept for the period required by tax law. Technical logs are retained as needed for operation and security. We then delete or anonymise information unless a legal duty requires longer retention.

Your choices and rights

You can ask to access, correct, delete or receive your personal information, and in appropriate cases restrict or object to its use. You can withdraw consent at any time without affecting earlier lawful processing. Email info@expatnl.eu to make a request. We may need to verify your identity and may have to retain some records where the law requires it. You can complain to the Dutch Autoriteit Persoonsgegevens if you are unhappy with our response.

Cookies and similar technology

Necessary cookies support site security, form protection and temporary messages after a form submission. They may include ASP.NET antiforgery and temporary-data cookies, Cloudflare security cookies and a cookie that remembers your privacy choice for six months. These do not need your optional tracking consent.

With your analytics consent, Google Analytics may set cookies such as _ga and related identifiers to measure site use. With your marketing consent, Meta Pixel may set cookies such as _fbp or _fbc to measure ads and enquiries. The exact cookie names and lifetimes can change with the provider. We load these optional tools only after you choose the relevant category. Rejecting them does not prevent you from using the site or contacting us.

You can change your choice at any time using . Withdrawing consent stops future optional tracking on this site; you can also clear existing cookies in your browser. If you follow our WhatsApp link or another external link, that provider's own privacy rules apply.
